Conference Participation Guide
To facilitate your participation in our conferences, we have prepared general guidelines to ease your visit. To obtain more detailed information pertaining to a specific conference, please visit the Events Calendar and click on the event of your choice.
Prior to the Conference
Pre-Registration
The conference Registration Form is mailed to participants or you may download it from the site of the specific conference. Please fill it out completely and clearly and fax or e-mail it back to the address listed on the Registration Form. Once registered, you will be sent a confirmation letter.
Visa
If you would like assistance with your visa arrangements, please fax or e-mail a copy of the first three pages of your passport to the address listed on your confirmation letter. Your request will be forwarded to the concerned authorities and as soon as the visa is finalized, we will send it to the fax or e-mail, which you provided on your Registration Form.
This service is not available for all conferences, in such cases; you will need to show your confirmation letter at the embassy to facilitate visa issue.
Accommodations
A Hotel Booking Form is automatically sent to you following your registration. If you would like to make use of this service, please complete the form and fax it back to us, selecting your preferences and ensuring that your credit card number is included. Once received, you will be sent a confirmation of your hotel bookings.
Hotel discounts are available to participants who use this service provided by the organizers.
Meet and Assist
In the Travel Details section of your Hotel Booking Form, please check the box: “I require free airport pick-up”, in order for us to arrange for a meet and assist at the airport. Upon your arrival at the airport, you will find a banner with the name of the conference, where you will be assisted.
Transportation
You may request a rental car for the duration of your stay, at your own expense. Special rates available for conference participants.
During the Conference
On-Site Registration
Upon arrival at the conference hall, please visit the On-Site Registration desk in order to obtain your badge and all relevant materials.
Unregistered participants must be sure to register at the On-Site Registration desk as well.
No entry is allowed on the conference premises without a badge.
Information Desk
Please check with the Information Desk for assistance or to arrange for any changes in your schedule.
Conference Premises
For detailed information pertaining to a specific conference, please visit the Events Calendar and click on the event of your choice. You will find specific information about the conference hall, program, dinners, hotels, tours, country and venue details, including location, distance, climate, currency exchange, etc.
Conference Packets
All conference information will be provided at the On-Site Registration desk, including: conference brochure and catalogue, program, sponsor brochures, notepads, pens, Al-Iktissad Wal Aamal magazine, available sponsor gifts, etc.
Speaker Presentations
Presentations are available during or after the session at the appointed location.
Exhibitions
Most conferences include a side exhibition to facilitate networking between participants. Exhibiting companies or conference sponsors showcase their products or services and sometimes hold meetings at their booths.
Discounts
Conference organizers receive special airline and hotel discounts that we make available to participants.
These discounts are available if your bookings have been made only through the organizers.
Additional Services
A list of participants will be available on the first day of the conference, which includes the participant and company name.
